The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Card identifiers such as name on card (we don’t store any payment cards or details in our system)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Marketing and Promotional reasons

  • Becoming a member of our loyalty programme which rewards customers. 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • When you make a payment online or in store with a payment card. 

We use the information that you have given us in order to track our most loyal customers and provide us with a dataset to improve. 

We may share this information only with Square payments which is the software we run our business with. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting enquiries@elshamhall.co.uk

(f) We have a legitimate interest in collecting your data. By doing so we are able to provide a loyalty service (which we otherwise could not) and provide the best value/offers for our customers. 

We use a third Party payment/financial software called Square which runs our entire payment system.

We also use it to provide a loyalty scheme. When you consent to join Elsham Hall Rewards, Square securely stores customer data identifiers in order to operate a digital loyalty scheme. The digital loyalty scheme tracks members spending at any of our sites in order to reward customers. 

We also use Square’s instant profile setting which automatically creates a skeleton profile within Square when a customer makes a payment with a card across our sites. This is simply a name/identifier. This allows us to track/trace our customer visits in order to provide a necessary data set. Providing us with information to adjust prices/stock, operation hours, create value and offers.

No Data is shared or sold. You can ask us to remove yourself from our system at anytime. 

How we store your personal information 

Your information is securely stored using Square. 

We keep Personal identifiers, contacts and characteristics (for example, name and contact details) for an indefinite period. We will only dispose of your information if the claimant requests or does not use our services for a 24 month period. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
